The Challenge

THE CHALLENGE

We are looking for an energetic, organized and enthusiastic self-starter to support the leaders of four of our Microenterprises (product lines) and their global teams. The Senior Administrative Assistant is a highly valued member of the team who is relied on to coordinate, manage, schedule and support a Senior Management team that frequently travels internationally.

What you will Do

WHAT YOU WILL DO

  • Provide Administrative support to the leaders of Room Air Conditioning and Ductless, Zoneline, Water Heater and Small Appliances Microenterprises, HR Manager, and respective organizations

  • Exercise initiative and independent decision making on a wide range of assigned responsibilities with minimal supervision

  • Anticipate needed action and handle follow-up independently

  • Interact at all levels (internal/external) with confidentiality and professionalism

  • Coordinate/plan/schedule executive level meetings, appointments and travel

  • Coordinate and plan customer and supplier visits

  • Produce creative executive level presentations

  • Order assets, supplies and manage expense reports

  • Manage visa/passport process for the 4 Microenterprises

  • Assist and coordinate HR activities including but not limited to team events and activities, interviews, human resource related reporting and scheduling

  • Manage projects including office renovations

What you need to Succeed

WHAT YOU NEED TO SUCCEED

  • Minimum of 2-year college degree or equivalent experience

  • Minimum of 5 years supporting an Executive Team

  • Demonstrated above average administrative and planning skills

  • Ability to handle delicate situations in a confidential manner

  • Able to provide positive examples of self-initiated, independent projects where minimum direction was available

  • Demonstrated computer skills including strong proficiency in Microsoft Office software

  • Flexibility to work beyond the normal work-day schedule as needed

  • Exceptional written and verbal communication skills, strong decision making ability and attention to detail

  • Ability to multi-task and prioritize assignments while remaining organized and efficient

NICE TO HAVES

  • Previous experience supporting global teams and/or teams in multiple sites with multiple time zones

  • Previous experience working with multi-cultural teams
